FGE Learning System and CEM Learning System Privacy Policy

Introduction

The Ford Guest Experience (FGE) Learning System (“FGELS”) and the Consumer Experience Movement (CEM) Learning System (“CEMLS”) are websites maintained by Ford Motor Company Limited. The business purpose of the FGELS and CEMLS is to assist in the facilitation of the User taking customer engagement learning courses.

This Privacy Notice (the “Notice”) will help you understand what business information is collected, used for, and how to contact us with any questions. Each Dealer operation is a separate legal entity, independent from Ford and its affiliates. As such, each Dealer has its own privacy practices and Ford and its affiliates are not responsible for these privacy practices. Please contact your Dealer for more information about your Dealer privacy practices.

What Information Do We Collect?

The FGELS and CEMLS websites are provided to Dealers and their employees to help support Dealer employee training capabilities. We collect and maintain different types of information in respect of those who use and interact with FGELS and CEMLS to assist in tracking the performance and status of training courses and certain sales metrics and which include the following: 

  • Participants: Participant Name
  • Participants: Email
  • Participants: Job Title
  • Participants: Dealership Name
  • Participants: State
  • Participants: Country
  • Participants: Enrollment Date
  • Participants: Status
  • Participant Resource Access & Completion: Participant Name
  • Participant Resource Access & Completion: Participant Job role
  • Participant Resource Access & Completion: Participant Dealership Name
  • Participant Resource Access & Completion: Participant State
  • Participant Resource Access & Completion: Participant Country
  • Participant Resource Access & Completion: Participant Resource Title
  • Participant Resource Access & Completion: Participant Type
  • Participant Resource Access & Completion: Participant First Access Date
  • Participant Resource Access & Completion: Participant First Completion Date 
  • Participant Resource Access & Completion: Participant Score
  • Dealer Continuing education, training courses, onboarding requirements, certifications and eLearning and development training (collectively, “Courses”) you are taking or have completed;
  • Results of the Courses which may be expressed as either completed/non completed or pass/fail;

We may collect this information directly from you. In other cases, this information may be provided by your Dealer. 

Our Purposes for Collecting, Using, or Disclosing This Information

This information is used to provide FGELS and CEMLS such as to:

  • Provide you with great functionality and services;
  • Manage and improve User experience;

Your Coach, Field Representative, Dealer Principal, and certain designated Users by your Dealer Principal of FGELS and CEMLS, such as managers at such Dealer, and we may view and use this information for business purposes such as establishing training and/or development requirements and assessing qualifications for a particular job or task.

We may share this information with our employees, vendors, contractors or partners in the normal course of business including in the development and maintenance of FGELS and CEMLS. Vendors, contractors or partners who have access to this information in connection with providing services for us are required to keep the information confidential and are not permitted to use this information for any other purpose than to carry out the services they are performing for us. We may use service providers, including our affiliates, in other jurisdictions to process and store this information in other jurisdictions, including the US, where it may be accessible to US governmental authorities. By using this site, you agree to the transfer of the information to locations that may have different levels of privacy protection, including the United States, than Canada.

Further, your information may be used or disclosed:

  • as permitted or required by applicable law or regulatory requirements. In such a case, we will endeavor to not use or disclose more information than is required under the circumstances;
  • to comply with valid legal processes such as search warrants, subpoenas, or court orders;
  • as part of our regular reporting activities (including outside of your home jurisdiction);
  • to protect the rights and property of Ford;
  • during emergency situations or where necessary to protect the safety of a person or group of persons;
  • where the personal information is publicly available; or
  • with your consent where such consent is required by law.

How is Your Information Protected?

Safeguarding your information is important to us. While no systems, applications or websites are 100% secure, we use systems, policies, and procedures to reasonably protect information from loss, misuse, or alteration. 

Our vendors, contractors, or partners who have access to your information in connection with providing services for FGELS and CEMLS are required to keep the information confidential. Vendors are not permitted to use this information for any other purpose than to carry out the services they are performing for FGELS and CEMLS. 

Remember, you are responsible for keeping your passwords and log-in credentials secure. If you do not, others may have access to your information.

How Long is Your Information Retained?

We keep your information in identifiable form for as long as is necessary for the purposes set out in the Notice. This generally means holding the information for as long as one of the following apply:

  • Your information is reasonably required in order to administer the business purposes of FGELS and CEMLS;
  • Your information is reasonably required in order to satisfy the purpose for which you submitted or we collected the information;
  • Your information is reasonably required in order to protect and defend our rights or property (this will generally be the length of the relevant limitation period in your jurisdiction); or
  • We are otherwise required to keep your information by applicable laws or regulations.

Updating Your Information

It is important that the information contained in our records is both accurate and current. If your information happens to change, please keep us informed of such changes.

In some circumstances we may not agree with your request to change your information and will instead append an alternative text to the record in question.

Access to and Correction of Your Information

You can request access to and rectification of the information that we hold about you. You may request updates to certain information in the FGELS and CEMLS system by contacting your Dealer.

Revisions to the Notice

We may from time to time make changes to the Notice and will communicate any revised version of the Notice by posting the updated Notice in the FGELS and CEMLS systems. Any changes will be effective from the time they are communicated. The Notice was last reviewed as of the Effective Date set forth below.

Ford will also analyse aggregated site use data for the purposes of understanding, developing and improving the site. For Residents of Deutschland:
